Zapier - Using an Action

An action is a request that Zapier sends to eKeeper to do something in the CRM. There are two types of action in Zapier, Create and Search.

To use one of these actions in a Zap the user needs to create a Zap or edit an existing one.

Start by choosing an app that will be the trigger for this action from any of the ones that are available in Zapier.

For the purposes of this document we will use a Google Sheet as the trigger.

This will trigger the Zap whenever a new row of data is added to the Google sheet, the row will contain customer details that eKeeper will use to create a new Mortgage product in the CRM.

Having set up the trigger click Add a Step followed by Action/Search to choose an action.

Next the you will need to choose the particular action from eKeeper that they want to use.

Now authorise Zapier to connect to eKeeper via an eKeeper account.

First you will need to click on Connect an Account.

If the user has previously connected an account it will be listed here giving them the option to use the existing one or create a new connection for this action.

A popup will be shown asking them to enter their eKeeper URL. This is the domain they use to connect to eKeeper, so if they connect via http://example.ekeeperonline.co.uk/php/DefaultPage.php then they should enter http://example.ekeeperonline.co.uk

They will then be taken to the eKeeper login page to log in to eKeeper.

If you are a user who already has an active eKeeper session in the same browser as the one you are accessing Zapier, the login page will not be shown. If you wish to set up a connection for a different user please ensure they have logged out of eKeeper before starting this process.

When authorising Zapier to access eKeeper, the user account that is used to log in to eKeeper is the one that Zapier will then be authenticated as when using the action. Because of this it is important that the user account used has the correct permissions to create the records produced by the action.

Once they have logged in you will be taken to a page asking them to approve Zapier's request to access eKeeper.

Now click Authorise to continue.

If Zapier has previously been authorised to access eKeeper via this process then the Authorise page will not be shown.

The account will now be listed in Zapier. If they wish to do so the user can now edit the name of the connection so it is easier to identify if they are using multiple connections.

The user can also click the Test button to confirm that the connection has been successfully created.

Next step is to set up the values the action will use when creating the Mortgage product in eKeeper.

Some of the values are not taken from the trigger and will be the same every time the action runs. In the case of the Mortgage action these are the Product Type, the user that will be assigned as the advisor, the initial Stage the product will be in and the type of action note used if there are any notes to be added.

With the Mortgage action the remaining fields will be populated from the trigger by clicking the icon and choosing the relevant trigger data for that field.

The last step is to test the action. Clicking Send Test To eKeeper will send the data shown on the page to the eKeeper action. Clicking Skip Test will show the Finish button to allow the user to then complete setting up the action.

If the test is sent eKeeper it will generate entries in the CRM for the new Case, Customer and Product. If the user is using genuine data for the test this should not be an issue, however if they are using test data they will probably want to delete it up after running the test.

After clicking Finish the Zap is ready to be used.
